AP Lead and Staff Accountant
To support the operational and strategic goals of Westminster University’s Accounting Services department, hiring both an Accounts Payable (AP) specialist—internally structured as a Financial Operations Coordinator—and a Staff Accountant is essential. The AP function ensures seamless daily financial operations by handling vendor relations, processing campus-wide reimbursements, managing purchasing card programs, and maintaining IRS Form 1099 compliance.Conversely, the Staff Accountant anchors the university’s broader fiscal health by managing the general ledger, executing month-end and year-end closings, tracking restricted higher-education grants, and preparing financial statements for internal stakeholders and external auditors. Together, these two roles bridge accurate, day-to-day transaction processing with high-level institutional compliance and financial planning.
Key Duties & Responsibilities
Accounts Payable (Financial Operations Coordinator)
- **Invoice & Reimbursement Processing:**Review, code, and process vendor payments, employee reimbursements, and student refunds through check or ACH, ensuring adherence to university procurement policies.
- **Vendor & P-Card Management:**Establish and maintain vendor records (including tax documentation) and administer the university’s purchasing credit card programs.
- **Compliance & Audit Support:**Assist with regulatory IRS 1099 reporting, support annual financial audits, and serve as a customer service resource for campus departments navigating financial procedures.
Staff Accountant
- General Ledger & Reconciliations: Perform regular ledger maintenance, reconcile complex cash and bank accounts, and prepare monthly journal entries.
- **Fund & Grant Accounting:**Track and monitor higher-education restricted funds, endowment allocations, and grant spending to ensure compliance with donor intent and federal regulations.
- Financial Reporting & Closing: Support the Controller during month-end and fiscal year-end closing processes, helping to compile accurate balance sheets and income statements.
