Part-Time Payroll Coordinator

UFA is a full-service fire agency, providing fire suppression, advanced life support, first response and transport, rescue, hazardous materials and bomb response, fire investigation, code enforcement, hazardous materials inspections, and Emergency Management for all of Salt Lake County. UFA is the sponsoring agency of Utah Task Force 1, one of 28 FEMA Urban Search and Rescue Teams in the nation, provides Fire Management services for Camp Williams and emergency response for the Utah Data Center. UFA is Utah’s largest fire agency with 694 employees (443 full-time sworn, 57 full-time civilian; 130 part-time EMS; 50 seasonal wildland firefighters, and several part-time support employees) serving approximately 430,000 residents in 15 municipalities and the unincorporated area of Salt Lake County. Under the general supervision of the Payroll Manager, this position will work within the organization’s payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations. The part-time Payroll Coordinator works within several accounting and financial systems and diverse programs, and frequently demonstrates broad knowledge due to cross-boundary specialties. Expected to function independently by using personal initiative to plan, carry out and balance individual assignments. The incumbent typically sets his/her own priorities within assigned programs or projects, relying on demonstrated experience and in-depth knowledge of FLSA & UFA payroll and benefits rules, protocols, and guidelines. They are expected to function independently while initiating and maintaining the UFA’s payroll system.

  • Reviews timecards for accuracy and proper approvals.
  • Tracks timecard approval issues, such as missing employee and/or supervisor approvals as well as missing timecards
  • Codes timesheets for Kronos software system
  • Updates employee records to include W4, address, and insurance changes
  • Reviews and processes employee direct deposit requests
  • Processes voluntary employee payroll deductions for outside agencies
  • Works closely with current worker’s compensation provider and employees to ensure proper payment and benefits are received
  • Reviews and confirms written requests to adjust employee records regarding sick leave and vacation accruals
  • Coordinates with Human Resources to ensure that employee payroll action forms are created
  • Maintains spreadsheets to track and update merit increases due each pay period
  • Calculates final payout checks for retiring/terminating employees.
  • Ensures compliance with numerous policies regarding accrual, retention and conversion of sick and vacation leave hours
  • Updates wage & benefits information in the Kronos system
  • Runs and distributes payroll reports to various departments
  • Provides support to Human Resources and the Staffing office
  • Processes employee verification forms
  • Completes Kronos access maintenance and updates
  • Maintains timecards and payroll updates
